For as long as the states have been around, people have been abbreviating their names. Whether simply for convenience or to comply with the post office’s 23-character per line preference in addresses, state abbreviations are widely used.

State Postal Codes are used all the time and many are immediately obvious. FL stands for Florida, CA for California, and TX for Texas. However not ever abbreviation is so easy. Does AL stand for Alaska or Alabama? (Spoiler: it’s Alabama). What is Louisiana’s abbreviation, again? (LO for Louisiana, not LA).

These commonly used abbreviations were standardized in October 1963 by the U.S. Post Office (USPS). Before that, the preferred state abbreviations were mostly 4 letters.

Since 1963, the Post Office has changed only one code. In 1969, Nebraska was changed from NB to NE. This change was done for consistency sake. Most other states’ abbreviations are the first two letters of the state unless two states start with the same two letters.

Check the sortable table below for a complete list of the official state Postal Codes and abbreviations.

17. Abbreviations of names
of U.S. states

When you write a scientific manuscript, you may be faced with
the need to abbreviate the names of states of the U.S.A. Here are the rules:

1. In text sentences, do not abbreviate names of states (see
CBE Style Manual).

2. In
addresses, use the 2-letter codes that were first issued by the U.S. Postal
Service in 1963 (see Table below) to abbreviate names of states.

3. In tables,
use the 2-letter postal codes

4. In
bibliographies, use the 2-letter postal codes in addresses of publishers.

5. In
bibliographies, do not use the 2-letter postal codes in abbreviations of
journal titles.

Be happy if
the style of the journal for which you are writing requires that names of
journals cited be spelled out in full.

Be happy if
the style of the journal for which you are writing requires that place names in
titles of journals cited be spelled out in full (e. g., Florida Entomol.)

If you have
to abbreviate names of U.S. states, the abbreviations as given in the table
below are acceptable. Except 1, that the names Alaska, Guam, Hawaii,
Idaho, Iowa, Maine, Ohio, and Utah are not abbreviated. Except 2, that
when you are writing for any journal that uses the recommended CBE Style Manual
format, the abbreviations are not to be followed by periods (Tenn not
Tenn. is then the correct abbreviation for Tennessee).

The abbreviations of state names are shown by Hutchinson
(1973), who explains that they are in government usage. She also explains how
some of them have variant forms. Merriam Webster (1986) gives yet other variant
forms. What a pity these abbreviations have not been replaced totally,
everywhere, by the simpler, briefer, and consistent postal codes. However, at
least for the present, they seem to be required by various style manuals and by
editorial policy of many, if not all, journals.

Note that Virgin Islands in the Table are the U.S. Virgin
Islands, and they do not include the British Virgin Islands. There were once
postal codes CZ for Canal Zone and AS for American Samoa.

The system of postal codes in the Russian Federation

For many decades, the system of postal codes has been used in our country. This is the name of the special combinations of numbers affixed to any postal items. It doesn’t matter what exactly they want to send to the addressee using the mail service – a letter, a notice, a parcel or a parcel – applying an index code is very desirable. Yes, according to the law, it is not necessary to use this code, and even without it, the shipment will most likely arrive at the address. However, it is the index that allows you to make the forwarding process much better for all parties involved in it:

  • sorting at special points is faster due to easy recognition of codes by employees and the possibility of more widespread use of automatic reading of numbers by special equipment;

  • due to the same reasons, the number of errors during sorting is reduced, which speeds up the forwarding process and increases the likelihood of its arrival at the addressee;

  • the financial costs of the state for the maintenance of postal services are reduced, which makes it possible to improve its work.

In order for all senders to put the necessary indexes on their letters and parcels legibly, a system of templates was invented. Each envelope or box has thin marked fields in which you can enter numbers along thin lines. Due to this, the codes are always easy to read, they have a unified font that the scanner reads.

The system of indices currently in force in the Russian Federation is the same for the whole country and officially fixed by law. Its prototype, the principle of operation of which has remained unchanged even now, began to be used in the USSR in 1971 years. The last time it was improved in 1998, adapted to the changing needs of the country.

The modern index reflects the principle of postal division used in Russia. He assumes that the items are sorted based on the administrative units – the regions to which they were sent. In each group of region codes, there may be several specific combinations of numbers – for different districts of the region, republic or territory. The exact number of such subcodes depends on the size and degree of population of each region. The largest and most important cities in the country – primarily Moscow and St. Petersburg – even have several groups of codes each. According to the first 3 digits of the index, postal employees and senders can understand to which region (and sometimes its district) the letter or parcel was sent.

The second three digits of the index indicate the specific post office to which the recipient’s address is attached. If it is necessary for the shipment to arrive simply at the main post office, use the combination 000.

As a rule, information about all the indices used in Russia today can be found in postal directories. They are also available for free sale, and, of course, in digital form on our website.
